In 2018, 4Networking faced challenges in effectively communicating with their members across the UK. Group leaders and administrative teams often resorted to manual methods, such as using Outlook with mail merge or CC'ing members from manually maintained lists. This approach not only risked breaching GDPR regulations but also increased the likelihood of emails being marked as spam.
Our Solution
To address these issues, we developed a comprehensive Member Broadcast System integrated into 4Networking's existing Umbraco-based CRM. This system allowed for the generation of dynamic member lists, enabling targeted and efficient communication.
Key Features
- Dynamic List Generation: Utilizing the CRM, administrators could create tailored member lists based on various criteria, ensuring messages reached the appropriate audience.
- Secure Broadcasting: The system facilitated mass communications without exposing individual email addresses, maintaining member confidentiality and adhering to GDPR standards.
- Compliance with GDPR: By centralizing communications and eliminating manual email handling, the system reduced the risk of data breaches and ensured compliance with data protection regulations.
- Message Archiving and Moderation: All communications were stored within the system, allowing for future reference and administrative review. An automated moderation feature flagged messages for review before dissemination, ensuring content quality and appropriateness.
Outcome
The implementation of the Member Broadcast System streamlined 4Networking's communication processes, enhanced member engagement, and ensured compliance with GDPR. By replacing manual methods with a centralized, secure platform, 4Networking could effectively inform members about new group launches and other pertinent updates without compromising data privacy.
